Document Access Control

Queryloop provides robust access control settings within the retrieval module, enabling users to manage data access based on confidentiality requirements. Access control is essential for maintaining data privacy and ensuring that only authorized individuals have access to specific documents.


Selecting Document Confidentiality Levels

Users can select confidentiality levels during the data upload process by adjusting access settings within the retrieval module. There are two main methods for setting access levels:

1. Setting Confidentiality During Data Upload

  • After adding the retrieval module, users will see options to upload datasets along with fields for specifying dataset types and confidentiality settings.
  • From the Confidentiality dropdown menu, users can select one of the three access levels: Public, Confidential, or Secret.
  • Selecting the appropriate confidentiality level upon upload ensures that the document's access is restricted according to organizational data policies.

2. Adjusting Confidentiality Post-Upload

  • If confidentiality needs to be modified after upload, users can access the View Datasets page. Here, an editable confidentiality field allows users to adjust access levels as necessary.
  • By navigating to the confidentiality controls, users can seamlessly toggle between the predefined access options based on updated privacy needs or organizational changes.

Access Control Levels

Queryloop supports three distinct access control levels, designed to ensure that each document is accessible only to designated personnel:

1. Public Access

  • Description: Public documents are accessible to any user who has been granted general access to the system.
  • Use Case: Ideal for documents intended for wide dissemination across the organization, including training materials, FAQs, and public knowledge bases.
  • Access Restrictions: No restrictions; available to all registered users.

2. Confidential Access

  • Description: Confidential documents are restricted to senior-level members within the organization.
  • Use Case: Suitable for internal documents requiring higher clearance, such as strategic plans, policy documents, and sensitive operational data.
  • Access Restrictions: Limited to individuals with senior-level credentials, ensuring that only experienced and trusted personnel can view these documents.

3. Secret Access

  • Description: Secret access is designed for highly classified or sensitive information, accessible only by select individuals, such as administrators or organizational leaders.
  • Use Case: Reserved for the most sensitive information, such as proprietary research, financial records, and top-level strategic documents.
  • Access Restrictions: Exclusively available to specific members with explicit access rights, ensuring the highest level of data security.
